Advanced Integration Features for ACT!

If you're an ACT! user, you can get more out of
your software by using QwikQuote! Whether it's desktop or web,
QwikQuote makes quoting and storing quote information in your contacts
seamless and simple.
QwikQuote works
with desktop versions of ACT!, but also supports the ACT! Premium for
Web extensions! Now you can take your quoting tools with you on
the road, but tie in to your contact database, and integrate quote data
with contact data just as if you were in the office!

Contact
Options
To access Contact Options in
QwikQuote, click on QwikQuote's Option button, then click on the
Contacts tab. QwikQuote now lest you choose any or all of the
three main ACT! links when you save a quote. You can also change
these default options on the fly for each quote:
A. Create/Update Sales Opportunity
B. Create/Update Call/To-do/Meeting
C. Create/Update Linked Document
Below each contact option, you can manipulate the sales
opportunity function. For instance, If both Product and Type are
left unchecked, you will write a single opportunity to ACT for
each quote. Product and Type are two labels associated with a
sales opportunity in ACT. If you look at the sample ACT
database, you will see examples that suggest that Product is
meant for a simple description of the product (like flower
basket) and Type is meant for various attributes like Special
Order or Bulk Order.
When you leave Product and Type unchecked, you can enter a text
line into the fields of the link form (more on that below).
However, if you check "Product," for example, you can then
select which product field is used to fill in the product label
for each opportunity entry. For example, if you choose
"category" and make a quote from QwikQuote's sample MAKEACAR
price list choosing a battery, an engine and a chassis, you'll
get three entries in ACT's Opportunity Manager. If you make a
quote choosing justl three batteries from MAKEACAR, you will see
only one entry because all the items in the quote are from the
same category.
Alternatively, if you choose "Type" and pick "part number," you
will see all three batteries as single entries. When you first
use this feature, nothing appears in the combo boxes. You can
also select "Type" and leave "Product" unchecked, which allows
you to type in a value for the product field, but get multiple
entries based on type.
Saving a Quote
When you save a quote in QwikQuote,
the "Quote Links to ACT!" window appears. The first line
"Document Description" is used as a descriptor in the Activity
schedule (the regarding field), the link document under the
Notes/History tab (also the Regarding field), and in the Details
field of the Sales opportunity.
Clicking on "Associate with group" provides a list of groups
currently defined by ACT. These groups must be defined in ACT!
The status of the check boxes for the three link items is based
upon the settings in options. You can change these now, but they
will revert back upon creating a new quote. If you change the
current quote and save it again, all of the current settings for
this quote remain the same.
1. Sales Opportunity
The Product box is only editable if you did not select it in
QwikQuote Options. Otherwise, it is disabled and shows the
Product field that will be sent over to ACT. The same is true
for the Type combo box. You do not have to fill in the
Probability field.
Sales stage can be selected, and are also brought over from
ACT!. If you select "Close/Won", the opportunity will appear as
finished in ACT.
You can select Main Competitor or you can type in a new one.
When you type in a new competitor, it is added to your list in
ACT!. (This is also true for Product and Type).
The Details field defaults to "Quote ###," and you can change
this. If you remove the quote number, the Opportunity will not
have a record of the quote number.
2. Schedule Activity
This section allows you to schedule in ACT! activities
associated with the quote. Click on down arrow buttons to choose
times, call backs, and other features. Color is overridden by
the Priority; for example, if you select "red" and then select
"Medium Priority," the color changes to blue.
3. Create Linked Document
Creating "Linked Documents" in ACT! Links the quote itself to
the ACT! Notes/History tab. This convenient features helps find
quotes simply by looking for your contact in ACT!. Clicking on
the Linked Document automatically opens QwikQuote and the quote
you seek.
